Assam Discovery understands that travel plans can change. We aim to provide a fair and transparent cancellation process while also protecting travellers from unclear conditions and recognising that many travel services are prepaid or subject to non-refundable supplier terms.
This Cancellation & Refund Policy applies to travel services arranged by Assam Discovery unless a different cancellation condition is specifically stated in the quotation, invoice or booking confirmation for a particular journey.
Cancellation and refund conditions depend on:
The date on which cancellation is received
The travel start date
The services booked
Supplier cancellation conditions
Whether payments made to suppliers are refundable
Whether permits, tickets or activities have already been issued or used
Seasonal or special-event conditions
Any specific terms agreed in the traveller's quotation or booking confirmation
For this reason, the specific cancellation conditions provided with your quotation or booking confirmation will take precedence over this general policy where they expressly differ.
A cancellation request should be submitted to Assam Discovery in writing by email or through another communication channel accepted by us.
The effective cancellation date will normally be the date on which Assam Discovery receives the cancellation request during our working hours.
For clarity and record-keeping, travellers are encouraged to send cancellation requests by email.
An enquiry or provisional itinerary does not constitute a confirmed booking.
If a traveller decides not to proceed before a booking is confirmed, no cancellation charge will normally apply, except for any specifically authorised or non-refundable expense already incurred on the traveller's behalf.
Once a booking has been confirmed, Assam Discovery may have made advance payments or commitments to hotels, transport providers, safari operators, guides, activity providers, permit authorities or other suppliers.
Accordingly, cancellation charges may apply.
The amount refundable to the traveller will depend on:
The amount received by Assam Discovery;
Amounts already paid to suppliers;
Supplier cancellation and refund conditions;
Non-refundable fees or charges;
Any applicable administrative or transaction charges; and
The timing of the cancellation.
Where possible, Assam Discovery will provide the traveller with a clear calculation of the applicable refund.
Certain services may become non-refundable once confirmed or issued.
These may include, depending on the booking:
Special-event accommodation
Festival-period bookings
Safari permits or fees
Park or activity charges
Transport tickets
Air tickets
Specially contracted accommodation
Advance payments to local suppliers
Permit or government charges
Promotional or discounted bookings
Other services expressly identified as non-refundable
If a service is non-refundable, this should be communicated to the traveller in the quotation, invoice or booking confirmation wherever reasonably practicable.
Where Assam Discovery acts as an organiser or intermediary for a third-party travel service, the supplier's cancellation conditions may apply.
For example, a hotel may impose a different cancellation policy from a transport provider, safari operator or activity provider.
Assam Discovery will apply the relevant supplier conditions to the extent applicable to the traveller's booking.
Where a supplier provides a refund to Assam Discovery, the corresponding refundable amount will normally be passed on to the traveller, after deduction of any applicable non-refundable charges or costs properly attributable to the booking.
Where a refund is due, Assam Discovery will initiate the refund process after determining the refundable amount.
The time required for the refund may depend on:
Payment method
Bank or payment gateway processing
Supplier refund timing
Currency conversion
International banking processes
Assam Discovery will not be responsible for delays caused solely by banks, payment gateways, card issuers or third-party suppliers.
Where a payment gateway, bank, card provider or other payment service charges a non-refundable transaction fee, that fee may be deducted from a refund where legally permissible and where the traveller was informed of the applicable condition.
If Assam Discovery needs to cancel a confirmed journey because we are unable to provide the agreed services, we will communicate the circumstances to the traveller and, where appropriate, offer:
An alternative arrangement;
A revised itinerary;
Rescheduling; or
A refund of amounts that are refundable under the applicable supplier and booking conditions.
Where cancellation results from circumstances beyond Assam Discovery's reasonable control, the refund will depend on amounts recoverable from suppliers and the circumstances of the booking.
Nothing in this section limits any rights that a traveller may have under applicable law.
If a journey is affected by circumstances beyond reasonable control—including severe weather, natural disasters, floods, landslides, government restrictions, civil unrest, war, epidemics, transport disruption, road closures, protected-area closures or other extraordinary circumstances—normal cancellation conditions may not fully apply.
In such circumstances, Assam Discovery will make reasonable efforts to:
Reschedule the journey;
Modify the itinerary;
Obtain available supplier credits;
Arrange reasonable alternatives; or
Obtain refunds from suppliers where available.
Any refund will depend on amounts actually recoverable from the relevant suppliers and authorities, subject to applicable law.
A request to change travel dates, accommodation, transport, destination or itinerary may be treated as a cancellation and rebooking where the relevant suppliers impose cancellation charges.
Additional costs resulting from a requested change may be payable by the traveller.
Assam Discovery will advise the traveller of known additional costs before making material changes wherever reasonably practicable.
If a traveller does not arrive for a confirmed service or fails to use a booked service without prior notice, the service may be treated as a no-show.
No-show charges may apply according to the terms of the relevant supplier.
Unless a supplier provides a refund or credit, amounts paid for a no-show service may be non-refundable.
If a traveller voluntarily leaves a journey early or chooses not to use part of the confirmed itinerary, unused services are not automatically refundable.
Any refund will depend on the cancellation conditions of the relevant suppliers and whether Assam Discovery can recover the amount.
If a traveller arrives late because of a flight delay, missed connection, traffic disruption or another personal travel issue, Assam Discovery will make reasonable efforts to assist with revised arrangements.
Additional costs resulting from the change may be payable by the traveller unless otherwise agreed.
Bookings during festivals, major events, peak travel periods or high-demand dates may be subject to stricter cancellation conditions.
Examples may include:
Hornbill Festival
Major cultural festivals
Peak wildlife seasons
Special events
Holiday periods
High-demand accommodation
Any special cancellation condition should be stated in the relevant quotation or booking confirmation.
Government permit fees, park fees, entry fees and similar charges may be non-refundable once issued or processed.
Where such charges cannot be recovered from the relevant authority, they may be excluded from any refund.
Travellers are strongly encouraged to purchase suitable travel insurance covering cancellation, interruption, medical emergencies and other travel risks.
Where a traveller cancels because of an insured event, the traveller may be able to recover eligible costs directly through their insurance provider.
Assam Discovery can provide relevant booking documentation reasonably required for an insurance claim, subject to the circumstances and information available to us.
If a traveller requests special consideration because of illness, bereavement, natural disaster, travel restrictions or another exceptional circumstance, Assam Discovery may review the case individually.
Any discretionary refund or credit will depend on the circumstances, supplier terms and amounts recoverable.
Providing compassionate consideration in one case does not automatically create a precedent or entitlement in another case.
Where a supplier permits a change rather than a refund, Assam Discovery may offer the traveller:
A revised travel date;
A travel credit;
A modified itinerary; or
Another mutually agreed arrangement.
Any credit will be subject to the validity and conditions imposed by the relevant suppliers.
Refunds will normally be made through the original payment method where reasonably practicable.
Where this is not possible, Assam Discovery may agree an alternative method with the traveller.
International refunds may be affected by currency conversion and banking charges.
Where a refund involves taxes, government fees or statutory charges, the refundable amount will depend on whether those amounts are recoverable from the relevant authority or supplier.
If a traveller believes that a cancellation or refund has not been handled correctly, the traveller should first contact Assam Discovery so that the matter can be reviewed.
We will make reasonable efforts to resolve genuine disputes through good-faith communication.
Nothing in this policy is intended to remove or restrict any statutory consumer rights or remedies available under applicable law.
This Cancellation & Refund Policy should be read together with the Assam Discovery Terms & Conditions and Privacy Policy.
Where a specific quotation, invoice or booking confirmation contains a cancellation condition applicable to a particular service, that specific condition will take precedence over this general policy to the extent of any inconsistency.

Travellers should include their name, booking/reference details, travel dates and the reason for the cancellation where they wish to provide one.
Assam Discovery aims to treat travellers fairly and transparently.
We will make reasonable efforts to explain applicable cancellation conditions before confirmation, communicate material changes, pursue recoverable refunds from suppliers and provide travellers with appropriate information about the financial consequences of cancellation.
At the same time, our refund obligations are necessarily affected by the commitments already made to hotels, transport providers, permit authorities, safari operators and other suppliers.
Our objective is to protect the legitimate rights of both travellers and Assam Discovery while handling cancellations in a transparent, reasonable and responsible manner.
